Cleaning With Love (business address 1147 Grant St. ground unit, Vancouver, BC, V6A 2J7, Canada) is seeking an Administrative Assistant / Operations Assistant for work locations at our Squamish and North Shore client facilities. It’s a full-time, permanent position, 30-35 hours/week, $28.85/h. 4% paid vacation.  We offer extended health insurance after 6 months of employment.

As an Administrative Assistant / Operations Assistant, you will be expected to perform the following duties:

  • Answering communications of building needs/strata needs/team needs and relating accurate information with our office. Communications include phone calls related to quality assurance/customer service/some soft sales. Respond to emails, texts, voip software etc.
  • Providing administrative services including mailing, scanning, faxing and copying in order to ensure effective and efficient operations
  • Organize and manage daily operations
  • Opening and distributing daily incoming correspondence (both electronic and regular)
  • Sending monthly quality assurance reports and newsletters to existing customers
  • Some marketing assistance including updating website; creating new advertising campaigns for soft upselling based on client’s unique building needs
  • Updating our team portal of building vendor events, new chemical and equipment handling processes
  • Preparing and editing all correspondence, assist accounts payable with auditing of invoices; assistance in compiling complaint reports
  • Maintaining electronic and hard copy filing system and reports
  • Working with field manager to audit inventory and order supplies 2 months in advance
  • Preparing, maintaining and managing interview schedules and correspondence with job applicants
  • Assisting with hiring new team members and preparing shift schedules for multi segments of teams
  • Provide ongoing support to clients with biweekly and monthly follow ups via in person and video meetings as needed.
  • Consistently sets the best example of established company standards, policies and procedures.

Requirements:

  • Must have some post-secondary courses in office administration;
  • Must have at least 3 years of admin experience or a combination of post-secondary education and experience;
  • Must have exceptional phone and customer service skills;
  • Must have knowledge of Google Workspace or Microsoft Office, CRM, QuickBooks, Social Media
  • Must be able to type at least 45 – 50 wpm with very good accuracy rate;
  • Must be able to work under minimum supervision and must be capable of independent thinking;
  • Must be able to speak, read and write in English.
